For more info see Format mail merge numbers, dates, and other values in Excel. If youre using an Excel spreadsheet, format the ZIP Codes or postal codes column as text to preserve any zeros. Collect all of your address lists, and add them to your data source. Consider updating your Microsoft 365 account to be one with access to the desktop applications, so you'll always have access to the mail merge feature. If you don’t have a mailing list, you can create one during mail merge. It works in conjunction with Outlook and Excel for desktop as well. ![]() Mail merge is only available on the desktop application feature, not on the web version. Using a mail merge can take time to set up, but saves time and energy in the long run. When the mail merge is complete, Word will generate a personalized version of the document for each entry in the data source. In Outlook, go to File>Options>Mail>Send Messages and check the box for 'Always use the default account when composing new messages' Then, under File>Account Settings>Account Settings, set the shared mail account as the Default account. You build the main document in Word, inserting merge fields for the personalized content you want to include. Send email messages, click HTML or plain text (doesnt matter which I choose), select all records, and hit OK. After creating a word file, starting a mail merge, selecting recipients from my outlook contacts list, inserting the mail merge field, I then go to finish and merge.
